We operate the ForeBuild platform — an AI-powered job pipeline and construction intelligence service for tradies, builders, and suppliers operating in NSW. 2. What personal information we collect

Information you provide to us directly

• Full name, email address, phone number, and business name when you register, start a trial, or contact us
• Your trade category, target suburbs, and project size preferences when configuring your account
• Billing and payment information — processed securely via Stripe. We do not store, see, or retain full card numbers or banking details
• Content you include in research task queries, support messages, or enquiry forms
• Business name and ABN where provided for account purposes

Information collected automatically

• Usage data: pages and features accessed, alerts viewed, outreach messages initiated, session duration and frequency
• Device and browser information: browser type, operating system version, screen resolution, IP address, and general location (city/region level)
• Session cookies and similar technology used to maintain your login state and remember preferences
• Email engagement data: whether you opened or clicked links in emails we send you, where technically measurable (note: Apple Mail Privacy Protection may affect accuracy of open tracking)
• Referral source — how you arrived at the ForeBuild website (e.g., search engine, direct, referral link)

Information obtained from publicly available sources

• Publicly listed business information (business name, trade category, general location) used to build outreach prospect records — sourced from public registers such as ABN Lookup and LinkedIn profiles
• Development application data from NSW Planning Portal and individual council DA registers — this data is public and not personal information
• Industry news and market information from publicly available publications and media sources

3. How and why we use your information

We use personal information only for legitimate purposes directly related to providing and improving the ForeBuild service:

• Account management: creating and maintaining your ForeBuild account, subscription, and access preferences
• Service delivery: generating and delivering DA alerts, job pipeline updates, weekly summaries, and AI-generated reports tailored to your preferences
• Outreach templates: pre-filling message templates with job details to help you contact builders — you always review and send these yourself
• Payment processing: billing your subscription and managing payment-related communications via Stripe
• Customer support: responding to your requests, troubleshooting issues, and following up on enquiries
• Marketing communications: sending product updates, new feature announcements, and promotional emails. You may opt out at any time via the unsubscribe link in any email
• Sales outreach: contacting prospective customers based on publicly available business information. Recipients may unsubscribe immediately and permanently
• Platform improvement: analysing aggregate (non-personally identifiable) usage patterns to improve features and user experience
• Legal compliance: meeting our obligations under Australian law, responding to lawful requests, and enforcing our Terms of Service

We do not use automated decision-making that produces legal effects or significantly affects you without human review.

4. Disclosure of your information

We do not sell your personal information — ever. We may share information with the following parties only to the extent necessary to operate the service:

• Cloud infrastructure (AWS, Sydney region): our platform is hosted on Amazon Web Services. Data is stored in Australia where possible
• Payment processing (Stripe): payment data is handled directly by Stripe and subject to Stripe's privacy policy. We receive only confirmation of payment status
• Email delivery: we use a third-party email service to deliver alerts and communications. These providers are bound by data processing agreements
• Analytics: we may use anonymised analytics tools to understand platform usage. No personally identifiable data is shared with advertising networks
• Legal requirements: we may disclose your information where required by law, court order, or regulatory authority in Australia
• Business succession: in the event of a merger, acquisition, or sale of ForeBuild, personal information may transfer to the successor entity subject to equivalent privacy protections. We will notify you beforehand

Where any service provider is located outside Australia, we take reasonable contractual steps to ensure equivalent privacy protections are in place.

5. Data security

We take data security seriously and implement the following protections:

• All data in transit is encrypted using TLS 1.2 or higher
• Data at rest is encrypted using AES-256 encryption on our cloud infrastructure
• Access to production systems and personal data is restricted to authorised personnel only, using role-based access controls
• We do not store payment card numbers or banking credentials — all payment processing is delegated to Stripe's PCI-DSS compliant infrastructure
• We conduct periodic reviews of our security practices

In the event of a data breach that is likely to cause serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme under the Privacy Act 1988.

6. Data retention

We retain personal information for as long as your account is active or as needed to provide the service, resolve disputes, and comply with legal obligations. Our specific retention periods:

• Active account data: retained for the life of your account
• Closed account data: deleted or de-identified within 90 days of account closure, except where legal retention obligations apply
• Transaction records: retained for 7 years for taxation and accounting purposes in accordance with the Income Tax Assessment Act
• Support and correspondence: retained for 3 years after the matter is resolved
• Prospect outreach records: retained until an unsubscribe request is received, after which they are permanently removed from our outreach lists

7. Cookies and tracking

We use the following types of cookies on the ForeBuild platform:

• Essential cookies: required for login, session management, and platform security. These cannot be disabled
• Preference cookies: remember your account settings and preferences between sessions

ForeBuild is a business platform designed for adults operating in the construction industry. We do not knowingly collect personal information from individuals under the age of 18. If you believe we have inadvertently collected information from a minor, contact us immediately and we will delete it.

10. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will notify active users by email and update the effective date above. Your continued use of ForeBuild after that date constitutes acceptance of the updated policy.
